2. Minutes of the previous meeting
JT proposed acceptance of the minutes and PB seconded this.
3. Matters Arising
3.1 Photos need to be taken to update the website. PH
3.2 PH to talk to Jane about cleanliness of the
Hall. PH
4. Chairman’s Report
4.1 PH reported on the success of the jumble sale.
The takings were £1574.75, with donations of £107.62 and with expenses
predicted at £318.58 the profit will be £1363.79. The expenses included a skip
and hiring the tent. The number attending was lower than previous sales and
this may have been due to a clash with the football. PH thanked Alison Burleigh
who stepped in for PB.
4.2 PH met LB and
agreed to produce an action plan. A copy was issued at the meeting. The Hall
will need to consider the costs involved. There was discussion about a padlock
on the side gate that opens onto the footpath. PH to chase Stuart Kirkham for a
quote to smooth out the bank outside the fire exit and create a ramp to the car
park.

Tree roots are trip
hazard in the childrens play area but there is nothing that can be done about removing
the tree roots.
ZA asked about cleaning
costs and it was suggested that LB ask the Rainbows and Brownies for a
contribution. LB
The new back door now has louvre grill across the air
vents and PH thanked RF.
DH will discuss door
colour with RF. DH
5.1 Treasurer’s Report
5.1.1 PB reported that the
minimum wage has increased Jane’s payment by £1.13/month. PB recommended that Jane has her November and
December pay at the end of November as has occurred in previous years. This was
agreed.
5.1.2 PB thanked KSP
who read the water meter as the Hall had been charged a very high payment. PB is
waiting for a new bill.
5.1.3 PB reported that
rental payment is slow, with £623 still owed from 1st October
invoices.
5.1.5 PB has looked at
the rental rates, which have not changed in two years. PB issued a revised rate
schedule for casual users which he proposed implementing from 1st
April. This involved a 5% uplift. The rates were agreed. PB will consider
increases for regular users on the same 5% basis.
5.2 Supporters club
There has been no
change in numbers. PB gave forms to LB to promote but has not had any back.
6. Sub-Committee reports
Fabric
RF has a list
including finishing the louvre on the back door.
Health and Safety
6.2.1 PH will arrange
a meeting. PH
PB has changed the
wording on the booking form to delete the reference to smoking. TC to look at
obtaining a bucket of sand/ashtray to have at the front and rear of the Hall
for smokers. TC
Decorating
6.3.1 PH will obtain a
quote to replace the floor in the
Fund raising
TC will have a meeting
to review the changes made to the jumble sale. This will include the use of the
tent, layout and advertising. TC has a colleague who can PAT test electrical
equipment and has some electrical items stored for the next jumble sale. BR
offered to distribute posters in the future.
TC plans to do a
leaflet drop soon which will update villagers of activities by the Hall and to
recruit more helpers. TC
As there were so many
books left there will be a book sale on 17th November 10am – noon.
David Gregg is sorting the books, any books left will be taken to charity
shops.
7. Group Reports
Under fives
There was nothing separate
to report.
Parish Council
The electricity supply
has now been established on the lower green. The Hall will be given a key to
use this for the fete.
Friends of Tewin
The carols will now
take place on Tuesday 18th December. The chairs and microphone can
be borrowed. In the event of bad weather the Hall can be used.
BR has a tree which
the Hall can use in the corridor. LC has left decorations with Jane for this.
A senior citizens tea
is planned for 13th February.
The AGM will be held
on 25th February.
A barn dance will be
held on 26th July and the scarecrow weekend on 30th and
31st August.
Tewin Society
There was a poor
turnout on14th October for the working party in the100 year wood.
PB had an email
requesting the microphone for 10th November. RF will produce written
instructions for this. PH
The Tewin society has
left a projector and screen on the stage which are not required and the Hall
could have. To provide for future facilities a digital projector would be useful
and would need to be mounted on the lighting gantry above the stage, PH to investigate
costs to see if this might be a valuable future project. PH
THACS
There is to be a quiz
night on 8th December.
There are spaces for
villagers on the trip to the Tutankhamen exhibition on 14th May

8.1 DH will liaise
with the Nick Whiting about Xmas decoration for the church Xmas fair. PB has
some lights for the yew trees. DH
8.2 PH has information
about recruiting trustees, more are needed before April 2008
